Accounts payable automation
AP automation inside the Microsoft 365 you already pay for.
We automate accounts payable from the inbox to the reconciled bank line: invoice capture, approval, ERP posting, payment run, bank reconciliation and FX. It runs in your own tenant, on SharePoint and Power Automate, and your team only handles the exceptions.

Why AP is still slow
In the Ardent Partners State of ePayables 2025 report, best-in-class AP teams process an invoice in 3.1 days at $2.65. Everyone else needs 17.4 days and $12.42. The gap is mostly manual work: retyping PDFs, chasing approvers in email, keying journals and ticking off bank lines by hand.
Most AP tools stop once the invoice is posted. The payment run, the bank match and the FX difference stay manual. We automate the whole loop and keep every control in it.
What changes for your team
- Invoices are read by AI with a confidence score on every field, and low-confidence fields go to a review queue
- Approvers decide in Teams or Outlook in one tap, with the PDF next to the data
- Coding (GL account, cost center, VAT code) is pre-filled from vendor history
- Posting, archiving and the audit trail happen without typing
- Payment proposals are ready on payment day, and a person always releases the money
- Bank statements (camt.053 or MT940) reconcile themselves, and FX gains and losses are booked
Why build it on Microsoft 365
Most finance teams already pay for Outlook, Teams and SharePoint. Building there means no new portal for approvers, no data leaving the company and no per-invoice fees to a SaaS vendor. You own the flows, the apps and the documentation, and nothing depends on us to keep running.
Not on Microsoft? We look at the tools you have and tell you honestly what we would build on.
The whole loop, in six steps
- Invoice. A flow watches the AP mailbox. AI reads every PDF and scores its confidence per field. Anything under your threshold goes to a person.
- Approval. The vendor is matched on VAT ID, then IBAN, then name. The approver gets the PDF and the data side by side in Teams or Outlook.
- Posting. Approved invoices go to your ERP through its import format or API, coded and VAT-split, with the audit trail attached.
- Payment. Due invoices are grouped by date and currency into a payment proposal. A person releases it, then the flow sends the bank file.
- Reconciliation. Bank statement lines are matched to payments by amount, reference and IBAN. Open items close. Only real differences reach your team.
- FX. If the rate on payment day differs from the invoice rate, the realized gain or loss is booked and both rates stay on record.
Questions
How long does AP automation take to set up?
The Audit takes one to two weeks. A first process, usually invoice to payment, goes live in two to six weeks depending on volume and integrations.
Do we need new licences?
Usually not many. Outlook, Teams and SharePoint come with Microsoft 365. Premium Power Automate features and AI document processing may need extra licences depending on volume. The Audit ends with a licence plan and its monthly cost before you commit.
Which ERPs work?
Any ERP that accepts an import file or has an API, for example Exact, AFAS, Twinfield, Microsoft Dynamics 365 Business Central, SAP Business One or Pohoda.
Does AI approve or pay invoices?
No. AI reads documents and suggests matches and coding. Approvals, vendor changes and payment releases are always done by people.
